Re: Meeting Minutes and Agenda

One point of error in the minutes,

The email to give out for sales is NOT the googlegroups email.

As luck would have it, I have just logged on to the Just Change web mail and discovered that the
london@justchangeuk.org is live and working.

Can we on all future publicity and sales materials quote this address.

(If we give out the Google groups everyone will get sales emails - may become both annoying and confusing)

Also I cannot DVDs burned for free. Any other ideas.

A New Leaf Just Change DVD an EO production viewed and well received and Ed to be congratulated on a fantastic job

1. Setting up an e-mail account for JC sales
Publicity team are working on this issue The new e-mail account will be

london@justchangeuk.org

In the meantime continue to use GOOGLE group e-mail
Uncertain who is responsible to check daily the mailbox

Action - Brenna will check the mailbox then forward orders to Sven who will forward to everyone else


2. Organising regional contacts and tea storage points in north, east, west
and south London. Posting orders is not recommended as revenue is lost
from the trading system and post can be unreliable etc.
Potential reps
South: Nina, Laura, Esi
North: Louise, Sven, Sarah
East: as yet unknown
West: as yet unkown though Beccy in terms of work is based in West Ealing/Hounslow
Rohan offered with regards to Walton on Thames area


Reps can then facilitate movement and access of tea to cover all areas within London- also cheaper.

Next shipment date 15th December important for positioning tea to reach all buyers
Louise has neighbours involved to release access to tea whilst she's out of the UK (from 29th November – mid Jan)

3. Procedure for tea sales Current tea pricing as per table is incorrect.
This is an recurring issue – who is responsible for looking into this?
Action: Mari will check current prices in India and report back

Pricing will need to be revised and accessable
Pricing listed as cost price is NOT PROFIT but does include
- cost to buy from processors,
- transportation from a) India to UK b) within UK
- insurance
The producer will receive nothing if sold at cost price so all overheads have to be highlighted to effectively cover this issue at point of sales.

Reps to explain this point to those buying tea


4. AoB
i Customer feedback
a) Taste
Some mentioned it is weak however producers responded by making it for UK palates
Suggestions to brew for longer Also for reps to highlight is good quality aromatic tea


b) Access to loose leaf As well as teabag there are requests via Manchester JC
plus others to have loose leaf tea this issue will be addressed

Action: Mari will see if it is possible to get some loose tea for us. Also Lucy please to ask the Indian women's group who buy from JC Manchester how much they need as loose leaf

c) Other products within JC range Pepper, coconut oil, soap, cloves, cinammon, dhal,
rice (though not produced by JC directly)

Request from Sarah at St Stehen's Junior School Twickenham
Receives catering size to sell tea to parents

Soap mixed reviews yet changes have been made as the colour is no longer black it now takes on a similar colour to Pears

Action - Mari requested via Sven for Sarah to write a report to Sajan regarding the additional products


ii Activity for Christmas
An issue to consider for 2007 a similar idea as the
Charities Advisory Trust gift idea,

Cafe 311 (Edmonton) using it in their fairtrade products gift hamper or Amnesty International catalogue 2006

To actively work on from summer 2007

Fair Trade Fair to take place on 8th - 10th December at Centre Hall, Parliament Square, Westminster

Action - Sven to receive e-mail sent to Nina to investigate if JC can have a stall and price to run it

Possibility volunteers available to sell tea

Louise highlighted still has banner and laminated posters used for JC stall at Camden Fair June 2006 to be collected

Action - To be discussed next meeting (Wednesday 29th November same time & venue)

iii A New Leaf
Ed has no issue with regards to copies made
Copies can be produced via Sven's friend with an industrial copier

Immediate requests from Louise and Sarah for future screenings

Action - Sven will e-mail group regarding DVD copies and screening ideas anyone with feedback can direct it to him

iv It's Her Tea JC poster

A number of copies have been produced need guillotine trim and to be laminated
A poster request from Brenna

Action - Rohan to trim and laminate copies
Action - Sven has master copy

v GOOGLE Group e-mail addition request
Emily highlighted 3 names would like to be added to the list
Action - Sven make the additions on receipt of names

vi Marsh Farm visit Mari and Trisha visited 15112006 to discuss Marsh Farm's intention to create a company
Open discussions with volutneers, trustees etc, potential company structure & policies, insurance, legalities

Agreed base Marsh Farm to become a hub (tea distribution source where it will arrive)
There will be 4 London hubs (north, south, east and west) with possibly Cambridge, Norwich & Birmingham. Also there will be one accounts system as Marsh Farm's accountant will also work with JC

Action: India accounts team will forward system currently used both will be analysed to create the standardized system January is set for one day training at Marsh Farm for all with direct involvement in process

For example volunteers will be able to estimate volume required with regards to purchases from their regular customers in junction with forthcoming shipment dates

vii Pro Bono Designer from Srishti design school (India) Mari mentioned Arvind Lodaya (one of Tarqi's teacher) will now provide pro bono design and presentation work

Action - A good quality e-copy of the JC logos will be sent to Sarah to then pass onto the publicity team plus Sven

viii Possible Cambridge Just Change group Brenna met with 3 DFTI alumni who would like to start JC group
The team has ideas yet want to have more people so she directed them to the website
There is a possibility there will be a member attending London meeting possibly Brenna herself

ix Update on Norwich's Green House

Brenna received cheque from Green House

Action - On receipt of account details cheque will be paid into account

Reps receiving tea and given funds noted by Sven
